Electronic Chain of Custody (eCCF)

is a secure, digital system for documenting and tracking a drug test from start to finish. It replaces paper custody and control forms with an electronic system that improves accuracy, speed, compliance, and visibility for employers.

DOT drug and alcohol testing is highly regulated and must comply with federal requirements enforced by the Department of Transportation and testing standards overseen by SAMHSA. Non-DOT drug testing programs are not federally regulated but still require accurate documentation and defensible procedures, especially for pre-employment, reasonable suspicion, post-accident, and random testing.

How eCCF Supports DOT Compliance
  • Mirrors the federal Custody and Control Form (CCF) requirements
  • Prevents missing or incorrect information that can invalidate a test
  • Captures required signatures electronically
  • Creates a clear audit trail for DOT inspections and audits
Benefits for DOT-Regulated Employers
  • Reduced the number of cancelled or rejected tests due to paperwork errors
  • Faster lab processing and MRO review
  • Improved compliance with 49 CFR Part 40 requirements
  • Better documentation for audits, investigations, and legal challenges

An electronic chain-of-custody system helps DOT employers stay compliant while minimizing administrative headaches and costly errors.

Accuracy

  • Eliminates illegible handwriting
  • Required fields prevent incomplete forms

Speed

  • No paper forms to ship or scan
  • Faster lab accessioning and result reporting

Visibility

  • Track tests in real time
  • Easy access to historical records

Defensibility

  • Secure, time-stamped audit trails
  • Strong documentation for disputes or audits

Yes. When properly implemented, eCCFs are fully legally defensible and widely accepted by certified laboratories and MROs. In many cases, electronic records are considered more reliable than paper forms due to built-in validations and permanent audit logs.

Crossroads Drug & Alcohol Testing uses an electronic chain of custody for both DOT and non-DOT testing programs to help employers:

  • Stay compliant
  • Reduce errors
  • Get faster results
  • Simplify program management

Whether you operate a DOT-regulated fleet or a non-regulated workforce, eCCF helps modernize your drug testing program without sacrificing compliance or reliability.

Qpassports (Quest) and ePassports (Escreen)

QPassport® vs ePassport in Drug Testing

What they are, how they work, and why they matter

Paperwork is one of the biggest reasons drug tests get delayed, mislabeled, or rejected. That’s why many employers use electronic “passport” systems—like QPassport® and ePassport—to send employees to testing with a clean, accurate, digital order.

These tools make testing fastermore accurate, and more defensible—especially for employers managing DOT compliance, high hiring volume, or multiple locations.

What is a “passport” in drug testing?

A drug testing “passport” is a digital authorization that tells a collection site exactly what test to perform and why. Instead of bringing paper forms, the donor presents a code, QR code, or email/text link at check-in. The clinic pulls up the order electronically and completes the test with far fewer manual steps.

Why employers use QPassport® or ePassport

Faster check-in and less downtime

With a digital order, the collector doesn’t need to create forms from scratch or interpret handwriting. Most donors check in in minutes, which reduces time away from the job.

Electronic passports reduce common issues like:

  • Wrong employer name or account
  • Wrong test panel
  • DOT vs. non-DOT mistakes
  • Incorrect test reason (pre-employment, random, post-accident, etc.)
  • Illegible or incomplete paperwork

Electronic orders create a cleaner, more traceable process. Actions are time-stamped and tied to the correct employer and test reason. This is helpful for compliance audits, disputes, and legal defensibility.

Electronic passports let employers (or their TPA) initiate tests consistently, track who has been sent, and reduce “off-system” testing that doesn’t match policy.

QPassport® is Quest Diagnostics’ electronic donor authorization system.

How QPassport works

  1. The employer/TPA creates a test order in the Quest system
  2. The donor receives a QPassport number, QR code, or email
  3. The donor presents it at a Quest Diagnostics collection site
  4. The collector pulls up the order electronically and completes the test

Best for

  • Employers using Quest Diagnostics as their primary lab network
  • High-volume pre-employment testing
  • Large random testing programs
  • Companies that want a consistent clinic experience through Quest

ePassport is a common term for an electronic authorization generated through a TPA or drug testing management platform. Unlike QPassport, ePassport is typically designed to work across multiple labs, clinics, and mobile collection teams (depending on the provider).

How ePassport works

  1. The employer/TPA generates the electronic order in a management system
  2. The donor receives a text/email link or QR code
  3. The donor checks in at an approved clinic or mobile collector
  4. The collector uses the electronic order to complete the test accurately

Best for

  • Employers operating in multiple cities or states
  • Programs that use more than one lab network
  • Mobile/on-site collections or after-hours testing
  • Employers managing both DOT and non-DOT testing under one process

Many employers benefit from a hybrid approach: Quest QPassport when using Quest sites, and ePassport workflows for mobile collections or alternate lab networks.

Crossroads helps employers set up a paperless testing workflow that reduces errors, improves turnaround time, and supports compliance.
